At Racket Club, we are committed to protecting your personal data and respecting your privacy. As a chain of padel venues, we operate through digital systems that rely on user-provided data to deliver services, communicate efficiently, and improve our member experience. This policy outlines how we collect, process, and use your data in accordance with GDPR and other applicable data protection laws.
2. Use of Padelmates
To book courts or sign up for a membership at any Racket Club location, users are required to register an account with Padelmates, our official booking system. All user data—including name, contact details, and any additional information provided—is stored and managed within the Padelmates platform. We do not own this data. However, when a user books a session at one of our Racket Club venues, their information becomes visible to us through our backend interface. This access is granted solely for our locations and is part of our contractual agreement with Padelmates.
3. Access and Communication Rights
Although we do not own user data, we reserve the right to contact individuals who have made bookings at our venues. This includes communication for support purposes as well as for commercial uses, such as promotional emails or newsletters. By signing up as a Racket Club member via Padelmates, users are automatically subscribed to our email list. If a user wishes to have all their data permanently deleted, this request must be directed to Padelmates, as we do not have the authority or technical access to perform full deletions from their system.
4. Website Inquiries and CRM Integration
Users can also contact us via the forms available on our website. Input from these forms is processed through our content management system, Webflow. From there, data is transferred via services such as Zapier into our customer relationship management platform, Salesforce. Once in Salesforce, user data is categorized either as a support case or as a potential lead, depending on the context of the inquiry. Leads may be classified as business-to-consumer or business-to-business depending on the nature of the interaction.
5. Use of Data in Shopbox POS System
Booking data from Padelmates is also integrated into our point-of-sale system, Shopbox. This integration allows us to recognize whether a user is a member when making purchases in our cafés, vending machines, or shops. This information is used exclusively to enable membership-based discounts and to distinguish members from non-members at the point of sale. No profiling or extended use of the data occurs beyond this purpose.
6. Use of Third-Party Services
We work with a variety of trusted service providers to operate our business. These include technical platforms, CRM tools, marketing systems, and POS software. In some cases, if your membership or booking is part of a corporate agreement, limited data may also be shared with your employer. We may also disclose your personal data to government authorities if legally required. All third-party providers we work with are contractually obligated to follow strict data protection standards and comply with GDPR.
7. Data Retention
We retain personal data only for as long as necessary to fulfill the purpose for which it was collected. Generally, data linked to bookings or memberships is deleted six months after the relationship ends. Financial data, however, is retained for five years in accordance with Danish accounting laws. Data in Salesforce used for support or sales purposes is reviewed and regularly cleaned to ensure accuracy and relevance.
8. Your Rights
You have several rights under GDPR concerning your personal data. These include the right to access your data, request corrections, and—in certain situations—demand deletion. You also have the right to object to data processing, request data portability, or withdraw your consent for marketing communications at any time. As Padelmates is the primary data controller for bookings and memberships, requests concerning full deletion must be directed to them. For all other inquiries or requests, you may contact us at support@racketclub.dk and we will respond within one month.
9. Data Security
We take data security seriously and have implemented strong technical and organizational measures to prevent unauthorized access, misuse, or loss of your personal data. These measures include encrypted data transmission, secure access protocols, and regular audits of our systems and workflows to maintain the highest standards of protection.
